Job fulfilment with your staffing agencies

Agencies submit against the requisitions you share with them, duplicates are caught at upload, and your hiring team sees every candidate in one pipeline with the agency that sent them.

How do agencies receive a requisition?

A hiring manager or company administrator chooses who works each requisition: everyone, the internal team only, external agencies only, or a named list. An agency sees only the open requisitions shared with it, with the job description, country and skills, and is told when the description changes.

An agency only reaches requisitions once it has been onboarded and approved: it uploads its trade licence, and an administrator approves it, asks for clarification or rejects it with a reason. Suspending an agency removes its access to every requisition at once.

It is switched on for your workspace during onboarding. It is built for in-house hiring teams working with external agencies.

How are duplicate submissions handled?

Each submission carries the candidate’s email, phone and an identity number, and is checked against earlier submissions in the same country at upload. If the candidate is already held, the upload is refused as a duplicate and the agency sees which detail matched, masked, but never who holds the candidate.

The first valid submission holds the candidate for a lock-in window the company sets, 30, 60 or 90 days or a custom length. Identity numbers are stored only as a keyed hash and their last four characters. The window is worked out when it is read: nothing ages a candidate into or out of a state on a timer.

What does each side see?

An agency sees its own submissions and their stage, and can withdraw them; it never sees another agency’s candidates on the same requisition. The hiring team sees every candidate with the agency that submitted them, and a history of the person’s earlier processes.

Hiring decisions stay with the company: an agency submits, the hiring team screens, interviews and decides in the same pipeline as its own applicants.

Frequently asked questions

Can an agency see who already submitted a candidate?

No. A duplicate is refused with the matching detail shown masked, and the agency is never told which other agency or recruiter holds the candidate.

Does OpusHire rank or score the agencies?

No. The platform shows each agency’s submissions and the stage each candidate reached; it does not produce an agency score or league table.
