How does a document request work?
A recruiter raises a request from the candidate’s page, from about twenty-five document types or a preset such as UAE onboarding or India onboarding. The candidate is told by email and in their portal, uploads once to a personal vault and can attach the same file to several requests.
A candidate can decline an item and upload it later. Reminders are sent by the recruiter, up to three. It is switched on for your workspace during onboarding.
How are documents reviewed?
Each document is approved, rejected with a reason, sent back for resubmission or waived by a person. Expiry dates are flagged. Nothing is approved or rejected automatically, and nothing about a document changes the candidate’s stage.
Hiring managers can view but not review, and sales users cannot open the files.
How are the files protected?
Every upload is checked for its real file type, scanned for malware and refused if the scan cannot run, stripped of active content and encrypted at rest, in a store separate from other uploads. Each view is authorised for that person at that moment and written to the audit trail.
Documents are kept for a set retention period, shorter for the most sensitive types, and never travel as email attachments or public links.
Frequently asked questions
Are documents verified with the issuing authority?
No. Your team reviews each document; the platform does not check it against government or issuer records.
